Abstract Policies

First Author and Presenter

First authors or presenters can submit ONLY one abstract.
You need to pay for the abstract submission (CNY 150 or USD 20) and the fee is non-refundable. You may request the receipt or invoice/Fapiao (only applicable to Chinese participants). The orders of abstract submission fee and registration fee will be listed on the same invoice/Fapiao.

Invited Author

Conveners, please note the following:

Conveners may invite up to two authors to submit abstracts for a session.
Conveners should invite authors no later than September 5th, 2024 to give authors sufficient time to accept the invitation, prepare their abstracts, and submit them. Please note XMAS will NOT accept late submissions. The registration fee and accommodation (in the assigned hotels) of the invited authors will be waived.

Invited authors will be in touch with the convener.
Please note that being an invited author does not guarantee an oral presentation. The final decision on presentation format will be made by the conveners.

Conveners Submitting Abstracts

Session conveners may not be the invited authors in the session they are convening, however, conveners can be invited authors in other sessions, but not in their own sessions.
The registration fee of the convenors will be waived.

The icebreaker reception on January 13th, and coffee breaks are included in registration fee. All fees are per person and listed in Chinese Yuan (CNY) or US Dollars (USD). The attendees have to take care her or his own travel and accommodation cost.

Authors with Accepted Abstracts

Authors whose abstracts are accepted for oral or poster presentations MUST complete the registration and pay in full by 23:59 (GMT+8) December 1st, 2024, otherwise their abstracts will be withdrawn from the program.

You will receive the link (via e-mail) to apply for Fapiao or you may go to My XMAS => My Invoice to apply. 
Only VAT Fapiao will be issued for the Symposium as Xiamen University does not issue VAT special Fapiao for abstract submission fee and registration fee. It will be sent by e-mail, if you do not receive the Fapiao two weeks after the Symposium, please reach the finance contact: Ms. Xinya XU, +86 592-2880181, xuxinya@xmu.edu.cn.
厦门大学对于会议费类的小额发票只开具普通增值税发票。发票将通过邮件发送,如果您在会议结束2周后未收到发票,请联系会议财务:许心雅老师,+86 592-2880181, xuxinya@xmu.edu.cn。
Notes: Xiamen University will follow first in, first out sequence to issue the Fapiao, it may take some days to receive. Please be sure to provide the full name of the legal entity and tax ID number of payment affiliation. It will be winter holiday during the Symposium, attendees who paid on site will receive Fapiao after Feburary 28th, 2025.
注意:发票开具将遵循先申请,先开具的原则,开具发票需要若干工作日,请耐心等待。请确认您提供完整的开票信息(单位名称、税号、开户行等)。因会议期间临近寒假,财务处理流程较慢,现场缴费的人员将于预计于2月28日后收到发票。
Receive the invoice (fapiao) with wrong information? Please fill the application sheet, sign and seal with the affiliation's official stamp, and scan to send it along with wrong invoice to xuxinya@xmu.edu.cn. Please keep the application sheet in case the original copy will be used.

Cancellation / Refund Policy

Participants from non-Chinese insitutions
Written request with email title “Cancellation request + Name” must be emailed to xuxinya@xmu.edu.cn. Registration cancellation received by December 13th, 2024 (China Standard Time) will receive a refund, 10% processing fee will be charged. No refunds will be issued for cancelled registrations after December 14th, 2024.
Participants from Chinese insitutions
Written request with email title “Cancellation request + Name in Chinese” and email attachment with attendee’s ID photo, payment record and application sheet must be emailed to xuxinya@xmu.edu.cn. Registration cancellation received by December 14th, 2024 (China Standard Time) will receive a refund, 10% processing fee will be charged. No refunds will be issued for cancelled registrations after December 14th, 2024.

Your offered information is to complete business processes such as meeting registration, to improve the communication and sharing of science, to improve programs and websites, and to serve the interests of authors, meeting attendees, and others by providing them with relevant information.
We are committed to providing an explanation of what information is required and what is optional, as well as how that information is being used.
XMAS does not sell meeting attendee contact information. If you receive or know of an email containing such an offer, please alert us by mailing to xmas@xmu.edu.cn.

Code of Conduct

The goal of XMAS is to build up a scientific community that is safe, constructive, and productive for all its attendees. Thus, XMAS tried the best to provide an open, diversified and productive environment for those attending our meetings, workshops, and events, regardless of sexual orientation, gender identity, race, ethnicity, religion, disability, physical appearance, or career level. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, XMAS staff, service providers, and others are expected to abide by this Code of Conduct. This Code of Conduct applies to all components of the upcoming XMAS events.

Expected Behavior

Treat all participants, attendees, XMAS staff, and vendors with respect and consideration, a diversity of views and opinions are encouraged.
Be considerate, respectful, and collaborative, criticizing ideas than individuals.
Avoid personal attacks directed toward other attendees, participants, XMAS staff, and suppliers/vendors.
Be mindful of your surroundings and of your fellow participants. Alert staff if you notice a dangerous situation.
Respect the rules and policies of the meeting venue, XMAS-contracted services.
Request permission from speakers before recording or taking photographs during their presentation. Turn off any ringers or otherwise disrupting devices during oral or poster sessions.

Unacceptable Behavior

Harassment, sexual harassment, bullying, intimidation or discrimination in any form.
Physical or verbal abuse of any attendee, speaker, volunteer, exhibitor, XMAS staff member, service provider, or other event guest.
Disruption of talks at oral or poster sessions, in the exhibit hall, or at other events organized by XMAS at the event venue, hotels, or other XMAS-contracted facilities.
Other examples of unacceptable behavior include, but are not limited to, verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, and national origin; inappropriate use of nudity and/or sexual images in public spaces or in presentations; or threatening or stalking any attendee, speaker, volunteer, exhibitor, XMAS staff, service provider, or other event guests.

Consequences of Unacceptable Behavior

Anyone requested to stop unacceptable behavior is expected to comply immediately.
The XMAS Local Organizing Committee or security may take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund.
XMAS reserves the right to prohibit attendance at any future meeting.
